We are doing a great job of filling positions for next year.  Thanks to all!  Among a few others, we have some vitally important key positions that have still not been filled. Please read and consider joining our group and helping with these essential PTA jobs.

VICE PRESIDENT OF COMMUNICATIONS:
Definition:  Work with board to ensure all PTA and school communications needs are met.
JOB DESCRIPTION:
  • Oversee all PTA communications components.
  • Email protocols and follow up to make sure all in Coms follow correct PTA and office procedures.   http://pauleckecentral.com/pta-at-pec/pta-forms-protocols/
  • Raise and/or handle any office or PEC population communication issues to/for board.
  • Understand communications budget allocation and expenditure and reimbursement policies.

MEMBERSHIP:
Definition:  Organize new and existing members for registration for the new school year.
JOB DESCRIPTION:
  • Familiarize yourself with current council or district membership information and PTA materials at www.capta.org.
  • Plan membership drive and purchase supplies if needed (envelopes, incentives, etc).
  • Promote membership through PTA and school communications (electronic, flyers, posters, etc).
  • Manage membership drive: collect dues, compile membership list, submit deposit/income forms to treasurer, etc.
  • Pass out membership cards.

EEF LIAISON:
Definition:  EEF stands for Encinitas Education Foundation.  It’s a private non-profit fundraising organization that promotes and supports the students of the Encinitas Union School District through funding.
JOB DESCRIPTION:

One VP of PEC EEF and One Treasurer of PEC EEF who will represent our school by:

  • Attend monthly meeting in the evenings at District Office (either rep, not both required).
  • Report to the PTA board, Principal, EEF and SSC events and news (can be done through email).
  • Liaise with EEF fundraising committee members and PTA VP of Fundraising if needed.
  • Once a month, review PEC EEF budget provided by the EEF.
  • Manage check requests for consultants & vendors for PEC EEF Night Time Fundraiser and (monthly) Restaurant Nights.
  • Deposits for events such as the Nighttime Fundraiser and Restaurant Nights.
  • Work with PTA volunteer coordinator to enlist several volunteers to support four EEF district-wide fundraisers in order to participate in funding support.

REFLECTIONS:
Definition:  Reflections is a contest to encourage the arts in our schools.  It is a state-wide PTA sponsored program.  The students are allowed to submit one entry in each of the following categories:  music, visual arts, photography, film/video production and literature.
JOB DESCRIPTION:
  • Develop a Reflections Program planning calendar using council and district PTA due dates.
  • Submit a Reflections Program budget to the budget committee for approval in June.
  • Select impartial, qualified judges and inform them of the criteria to be used in evaluating/judging Reflections Program entries.
  • Work with Volunteer Coordinator to get volunteers to help with tasks below…
  • Create/update fliers.
  • Put notice in PTA communications (eblasts, newsletter, web site).
  • Submit receipt forms to Treasurer where appropriate.
  • Submit informational blurbs to PTA communications if finalists/winners, etc.
  • Display winners at PEC Art Literacy Show at Open House.

BOOK FAIR:
Definition:  Committee to coordinate Book Fair before, during and after event..
JOB DESCRIPTION:
  • Work with VP Fundraising to create fundraising goals and create event schedule.
  • Read and follow office and PTA protocols for preparing for event (understand book fair budget allocation and expenditure and reimbursement policies).
  • Work with Volunteer Coordinator for volunteers.
  • Work with PTA Communications to publish out Book Fair information.
  • Work with Scholastic to order product and create/update order form.
  • Manage event, inventory control, setup and tear down.
  • Submit receipts, income and reimbursement forms to Treasurer.
  • Work with Treasurer to track how much money is being raised from this channel.

HOSPITALITY:
Definition:  Works with event heads at PTA functions where refreshments are needed.  (Approximately five events and two to three PTA general meetings.)
JOB DESCRIPTION:
  • Obtain event volunteer list from Volunteer Coordinator and organize volunteers to help with refreshments.
  • Determine amounts of food/drinks needed and purchase (or delegate purchasing to someone on the committee).
  • With help of these volunteers, set up food/drinks and help make parents/visitors feel welcome at PEC during these events.
  • Submit receipts for reimbursement to the Treasurer.
